Who We Are

Meetris is a scheduling platform that helps individuals, teams and organizations find meeting times that work for everyone. Instead of exchanging endless emails, organizers create a scheduling request, participants share availability, and Meetris identifies suitable meeting times.

Information We Collect: Account Information

When you create a Meetris account, we may collect:

• Name
• Email address
• Profile information
• Authentication information

Information We Collect: Scheduling Information

When using Meetris, we may collect:

• Meeting title
• Meeting duration
• Meeting location
• Date range preferences
• Organizer information
• Participant email addresses
• Scheduling preferences

Information We Collect: Google and Microsoft Contacts

If you choose to connect your Google or Microsoft contacts, Meetris searches the names and email addresses of the people you have emailed and of the contacts you have saved, for what you type when you invite someone, so you can pick an invitee by name. On a Microsoft work account this list can also include colleagues from your organization’s directory that you have interacted with. Each search happens only while you are typing; nothing runs on its own, and it is never part of signing in.

• Names and email addresses only. No phone numbers, photos, notes or other fields are read.
• The matches are shown to you and not stored. The only address Meetris keeps is one you choose to invite, which is then part of that meeting like any other invitee.
• Nothing is written to your address book.

You can withdraw the permission at any time by removing Meetris from the third-party connections in your Google account, or from the apps with access to your Microsoft account. Both providers remove an app’s access as a whole, so this disconnects your calendar as well; signing in to Meetris again reconnects the calendar without contacts. Deleting your Meetris account deletes the access tokens we hold, so Meetris can no longer read anything from your account; Meetris may still be listed among your connected apps at Google or Microsoft until you remove it there.

Information We Collect: Help Center Feedback

When you send a message from the Help Center, we save your message, the page path where you sent it, and a link to your account so our support team can review it. We do not include the page’s query parameters.

If you choose to attach a screenshot, you select an area of the Meetris page. We save only that selected image with your report. Please check the preview for private information before sending.

Feedback and optional screenshots are visible only to authorized members of our admin team. They are deleted when you delete your account.

Information We Collect: Availability Information

When a participant shares availability, we may collect:

• Available time slots
• Busy time slots
• Time zone information
• Availability preferences

Information We Collect: Calendar Connection Information

When you choose to connect a calendar, Meetris accesses only the information necessary to provide the scheduling features you choose to use. Depending on the permissions you grant, this may include:

• Free/busy availability information
• Calendar identifiers
• Time zone information
• Creating, updating and cancelling calendar events through Meetris
• Synchronizing meetings created through Meetris with your connected calendar

Whenever possible, Meetris relies on free/busy availability rather than detailed calendar content to determine suitable meeting times.

Creating, updating or synchronizing calendar events requires additional calendar permissions, which are requested only if you choose to use these features.

Meetris does not access or process more calendar information than is necessary to provide the requested functionality.

Information We Collect: Email Assistant

Meetris offers an optional email assistant, which stays off until you turn it on. Once it is on and you copy its address on an email, we process that email to work out which meeting you are asking for:

• The subject and body of the email you copied us on
• The names and email addresses of the people on it
• The meeting details we extract from it, such as a proposed time, duration or location

Names and email addresses are replaced with placeholders before any of it is stored, so what we keep does not name the people in the message. The original, unscrubbed email is never written to our systems.

The scrubbed text is then sent to an AI provider acting on our behalf, which extracts the meeting details and returns them to us. That provider is Mistral AI, whose models run in the European Union. Under our plan with Mistral, and with model training switched off in our account, the text we send is not used to train their models.

What a person wrote is deleted after 7 days. A record of what became of the email, meaning the sender address, whether it was accepted and the reason if it was not, is kept for up to 90 days so we can answer you if you tell us the assistant did not work.

Information We Collect: Waitlist

While Meetris is in private beta, you can ask to be told when a place opens up. We store the email address you give us and, if you choose to give one, your name. You also join the list automatically if you try to sign in while the beta is closed, using the address on the account you signed in with. You are on it too if you have simply signed in successfully at any point, whether the beta was open or closed: the list is how we record who has access, so every account has an entry. That entry outlives the account. Deleting your Meetris account removes the link to it but keeps the address, so your place is not given up, and the entry is removed the same way as any other: by asking. If you came from an invite link that someone using Meetris sent you, we also record who invited you, so we know how you found us.

We use it for one thing: to write to you when there is a place. You get a single confirmation email the first time an address joins the list, however it joined, and nothing else until then. Adding an address that is already on the list sends nothing. We do not sell it, share it, or use it for advertising.

We keep it until you ask us to remove you, or until we no longer run a waitlist. To be removed at any time, reply to the confirmation email or write to privacy@meetris.ai.

Information We Collect: Technical Information

We automatically collect limited technical information, which helps us operate, secure, and improve Meetris, including:

• IP address
• Browser type
• Device information
• Operating system
• Log data
• Error reports

What Organizers Can See

Privacy is one of the most important aspects of Meetris. When participants share availability, organizers do not receive access to:

• Event titles
• Event descriptions
• Meeting notes
• Guest lists
• Calendar contents
• Private event information

Organizers receive only the availability information necessary to coordinate the meeting. They do not receive access to participants’ calendar contents unless a participant explicitly chooses to share additional information.

How We Use Information

We use information to:

• Create scheduling requests
• Collect participant availability
• Identify matching meeting times
• Suggest invitees by name from your contacts, if you choose to connect them
• Create calendar invitations
• Synchronize meetings with connected calendars
• Deliver notifications
• Improve product functionality
• Provide customer support
• Protect the security of Meetris

We do not sell personal information.

We do not use calendar information for advertising purposes.

Calendar Integrations

Meetris currently supports calendar integrations such as:

• Google Calendar
• Microsoft Outlook / Microsoft 365 (where available)

Calendar access is used exclusively for scheduling functionality. Contacts access, where you grant it, is used only for the address suggestions you see while inviting someone.

The permissions requested depend on the features you choose to use. For example, creating or updating calendar invitations requires additional calendar permissions beyond determining availability.

Users can disconnect calendar integrations at any time through their calendar provider or Meetris settings.

Google Workspace Data

If you choose to connect a Google account, Meetris’ use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy (https://developers.google.com/terms/api-services-user-data-policy), including the Limited Use requirements. This covers your calendar and, if you choose to connect them, your contacts.

Google Workspace data is used solely to provide the scheduling features you choose to use: finding times that work, placing the meeting in your calendar and, if you connect your contacts, suggesting invitees while you type.

Meetris does not use Google Workspace data to develop, improve or train generalized artificial intelligence or machine learning models.

Google Workspace data is never sent to any third-party AI provider. The email assistant described above reads only emails you send to us, and your calendar information is not part of what it sends.

Participant Privacy

Participants can choose how they share availability. Depending on the request, participants may:

• Connect a calendar
• Enter availability manually
• Decline, with an optional note to the organizer

Participants remain in control of their information throughout the scheduling process.

Data Sharing

We share information with the service providers that help us operate Meetris:

• Cloud infrastructure and database hosting providers
• Email delivery providers
• Error monitoring providers
• Website measurement providers
• AI providers, used only to extract meeting details from emails sent to the email assistant

We require all service providers to process personal information only on our behalf and in accordance with applicable data protection laws.

We do not sell personal information to third parties.

Data Retention

We retain information only as long as necessary to:

• Provide the service
• Maintain scheduling records
• Fulfill legal obligations
• Resolve disputes
• Protect platform security

Emails sent to the email assistant keep to their own schedule, set out under "Information We Collect: Email Assistant": what a person wrote is deleted after 7 days, and a record of what became of the email is kept for up to 90.

Waitlist entries have no clock on them, because there is no point at which we would stop wanting to tell you a place had opened. They are kept until you ask to be removed, as set out under "Information We Collect: Waitlist".

When accounts are deleted, personal information will be removed or anonymized within a reasonable period, subject to legal requirements.

If you made a booking link, a one-way fingerprint of the name in its address is kept after you change that name or delete your account, with nothing that links it to you. It stops anyone else from being given the same address, so an old link you shared can never open someone else's page.

Security

Protecting user information is fundamental to Meetris. We use industry-standard security measures designed to protect personal information, including:

• Encryption in transit
• Access controls
• Authentication safeguards
• Monitoring and logging
• Secure infrastructure practices

No online service can guarantee absolute security, but safeguarding user information remains a core priority.

International Data Transfers

Depending on your location and the location of our service providers, personal information may be processed in countries outside your jurisdiction. Where required by law, we implement appropriate safeguards for such transfers.

Your Rights

Depending on applicable law, you may have the right to:

How We Measure Usage

To understand where Meetris works and where people get stuck, we record a small, fixed set of product events on our own servers. Nothing in your browser does this: the record is written where the action lands, and there is no tag manager and no advertising or marketing pixel anywhere on the site. Page views and loading speed are measured separately, and are described in the next section.

What we record is limited to the fact that an action happened, and when:

• that an invitation link was opened
• that someone started connecting a calendar, and whether it completed
• that someone shared availability by hand instead of connecting a calendar
• that an invitation was declined
• that someone signed up from an invitation, and whether they also gave that organizer standing access
• which first-run setup screens were completed or skipped
• how far through the introductory tour of the app someone got, and whether they finished it

What we never record: anything from your calendar. No event titles, no attendees, no busy times, not even how many meetings you have. No message contents, and no free-text fields of any kind, so an email address cannot end up in this data by accident.

These records are used in aggregate to improve the product. For a meeting you are invited to, its organizer can also see recorded invitation activity, including when the invitation link was accessed, a calendar connection was started, and availability was submitted. Link accesses are recorded at most once per UTC day and do not prove who opened the link. These records are never sold, never shared with advertisers, and never used to make automated decisions about you. We keep them for at most 13 months, after which they are deleted automatically.

If you delete your account, the link between these records and you is removed, leaving only an anonymous count that identifies nobody. You can object to this processing at any time by writing to privacy@meetris.ai.

Page Views And Loading Speed

Our website host, Vercel, counts page views for us and measures how quickly pages load in your browser. Two small scripts do that, served from meetris.ai itself.

They are narrower than measurement scripts usually are, in ways worth being specific about:

• They set no cookies and store nothing on your device, so there is nothing that can follow you to another site.
• They report which kind of page you opened, not which link you followed. An invitation lives at a URL containing a private token, and what leaves your browser is the shape of it, "/invite/:token", with the token and anything after the "?" removed first.
• They build no profile of you. Nothing here is sold, shared with advertisers, or used for marketing.

Vercel processes this for us as a service provider, on the same terms as the hosting itself.

If you would rather not be counted, any content blocker that blocks the two scripts will stop it, and nothing about Meetris will behave differently.

Cookies

Meetris sets no cookies until you sign in, and runs no analytics or advertising cookies at all. The cookies that do exist serve one purpose each:

• Keeping you signed in securely
• Protecting the sign-in flow itself

You can manage cookies through your browser settings, though blocking these will prevent you from signing in.

Our Cookie Policy lists every one of them in full, along with the few preferences kept in your browser.

Changes to This Policy

We may update this Privacy Policy from time to time. If material changes are made, we will update the effective date and provide notice where appropriate.
